Mailing Festival Registration
All pre-registrations MUST be postmarked June 1 or later.  Foreign registrations may be postmarked starting May 29. 
We will send out confirmations starting June 15.

Check In Info
All field trip and dinner participants must check in at the registration desk (located in the lobby of the Windemere) to receive their badges and information/registration packet. The registration desk will be open Wednesday 12 noon to 7:00 p.m., Thursday, Friday, and Saturday, 4:30 a.m. – 6:00 p.m. The festival administration fee of $15 will apply only to Field Trip and Dinner participants. Hummingbird Banding, Ramsey for Kids, Nest Box Building and all Programs and Seminars presented in the Windemere Conference room on Thursday through Saturday do not require pre-registration and are open to the public at no cost.

Cancellation and Refund Policy
• Cancellations received by June 30 will be fully refunded.
• No refunds will be issued after June 30.
Southwest Wings reserves the right to cancel or revise any event for any reason. If it becomes necessary to cancel a paid event (field trip or dinner) for which you have a reservation, we will notify you and issue a full refund. If you cancel your paid trip reservation before June 30, we will refund the full trip cost.
•No refunds will be issued for no-shows.

Trips with Multiple Vehicles
In the descriptions of the paid events, some trips indicate two vans. These vans will not necessarily travel in tandem. That decision is at the discretion of the leaders. If you want to go on a trip with spouse or friends, be sure to sign up for the same leader as indicated on the registration form.

Lodging
The Windemere is offering a discounted room rate for Festival participants. Click here to go to Windemere information. For those of you not taking advantage of this special offer, click here for alternate lodging.  Due to the increase in military activity centered on Ft. Huachuca there have been times when motel rooms are scarce.  Be sure to make your reservations well in advance. 

Breakfast
To help you get your day started, the Windemere will provide a reasonably priced buffet breakfast Thursday through Saturday morning starting at 4:30 a.m.  (This breakfast is free for those staying at the Windemere.)

Exhibitors and Vendors
There will be a variety of exhibits in the main corridor of the hotel from state, federal, and non-profit wildlife and conservation associated agencies, as well as commercial exhibitors, with displays and free handouts. In the Vendor Room optics companies, retail stores, craftsmen and artists with an excellent selection of nature related merchandise, will be open for your shopping pleasure.

Vending hours (at the discretion of the individual vendor) are Thursday 10:00 a.m. to 8:00 p.m., the end of the Welcome Reception, Friday 10:00 a.m. to 7:00 p.m., and Saturday 10:00 a.m. to 6:00 p.m.
